Hospital policy requires that all loaner trays be picked up within 30–48 hours after surgery. It's important to coordinate this with the vendor representative assigned to the case.
Why this matters:
If a tray is missing items, this is your opportunity to document it and avoid liability. It also allows the vendor rep to report missing items and seek reimbursement.
If it's not documented at checkout, the facility is not responsible.
How to Check Out Loaner Trays in Settrax
1. Log In
Go to the Settrax Kiosk. Log in with your username and the four-digit case code. This takes you directly to the case page.
2. Start Checkout
- Under each tray name, click Checkout.
- A pop-up will show the Check-In photo for reference.

Find the matching tray and place it under the camera and on the scale.
3. Capture Tray Image
- Click Ready.
- Once the weight settles and the camera icon turns green, click Click to Capture.

Repeat this step for each tray layer.
You can enlarge the Check-In photo by clicking on it.
4. Complete Checkout
- Once all trays are checked out, agree to the hospital’s tray policy by checking the box.

Click Complete Checkout to finalize.
Repeat for all trays in the case.

Hospital policy requires that loaner trays be picked up and removed from the facility 30-48 hours post-surgery. This will require clear communication with the vendor rep on the case.
It is important to make sure this step is not skipped! If an item is missing from the tray, this is the chance to document it and remove your liability for the missing instruments. This also allows the vendor rep the ability to recover or get reimbursed for any missing instruments by the facility. Without documentation on the way out of the facility, the facility is not liable for missing instruments.

Log in to the Settrax Kiosk
- Go to the Settrax kiosk and log in with your user credentials and the unique four-digit case code assigned. This will bring you directly into the Settrax Case page.

Initiate Check Out
- Underneath each tray name will be a Checkout button, click it. A pop-up window will display the "Check-In" picture of the tray. You can use that image to locate the correct tray to check out.
- Once you have located the correct tray and layer, place it under the camera and on the scale.
- Click Ready, and once the weight settles and the camera icon turns green, click Click to Capture.

Repeat for each tray layer.
- Note: You can enlarge the Check-In picture for comparison by clicking on it.
- Once successfully checked out, the status will change to Re-Checkout next to the set.

Complete Check Out
- After checking out all trays, agree to the hospital's vendor tray policies by checking the box.
- Click Complete Checkout to finalize.
- Repeat these steps until all the loaner trays in the case have been checked out
